Administrative Executive
Position Mission
The Administrative Executive provides high-level administrative and strategic support to the Chief Executive Officer (CEO). This role requires discretion, judgment, and the ability to manage multiple priorities in a fast-paced environment. The Administrative Executive will serve as a trusted partner, ensuring the CEO’s time and attention are focused on the most critical matters.
Key Responsibilities
- Executive Support: Serve as the CEO’s right hand in project management, track progress, set timelines, and follow up with contributors to ensure deadlines are met.
- Manage the CEO’s calendar, schedule meetings, coordinate travel, manage expenses and prepare briefing materials.
- Information Management: Draft, review, and edit correspondence, presentations, and reports; ensure accuracy and professionalism.
- Meeting Preparation: Organize meetings, leadership team sessions, and external engagements, including agendas, materials, and follow-ups.
- Project Coordination: Support execution of strategic initiatives by tracking progress, deadlines, and deliverables. Maintain and update spreadsheets, and other tracking tools with detailed records of interactions.
- Stakeholder Management: Act as a liaison between the CEO and internal teams, clients, partners, and external stakeholders. Assists with market research to identify decision-makers and schedule meetings with leadership.
- Confidential Support: Handle sensitive information with discretion and maintain strict confidentiality.
- Operational Efficiency: Identify opportunities to streamline administrative processes and support overall business effectiveness.
- Perform additional duties as required to support executive and organizational needs.

Requirements
- Successful completion of background check and drug screening.
- Administrative: 5 years (Preferred).
Reporting
Reports directly to: CEO
Work Environment
Remote / Hybrid (periodic meetings in Miami)
